Equality Monitoring Statement

At Our Version Media CIC, we are committed to equity, inclusion and meaningful representation – particularly for Black British, UK African and UK Caribbean communities, whose voices are too often excluded from mainstream spaces. By collecting equality information, we aim to better understand who we’re reaching, identify gaps, and make sure our work stays inclusive, accessible and rooted in the needs of our communities.

Why we ask for equality information We may invite participants, clients or partners to share equality monitoring information, such as:

  • Ethnicity
  • Gender
  • Age
  • Disability status
  • Socio-economic background

We use this information to:

  • Understand who we’re reaching (and who we’re not)
  • Measure the inclusivity and impact of our work
  • Identify and address barriers to access
  • Report anonymised trends to funders or partners

Providing this information is always optional. Your decision to provide or withhold it will never affect your access to our services.

We also recognise that people’s identities and experiences are shaped by more than one characteristic – such as race, gender, and disability. Our approach to inclusion is intersectional and considers this complexity.

How we keep your information safe

  • Equality data is anonymised or pseudonymised wherever possible
  • We only collect what is necessary and relevant
  • Data is stored securely with access limited to key staff only
  • Any reports shared externally are fully anonymised – individuals are never identifiable
  • Individual-level equality data is retained only as long as necessary to analyse and report on trends. We then delete or anonymise it.

Your rights and consent Under UK GDPR, we collect and use equality data only with your explicit consent (Article 9(2)(a)). If you have any questions about how your data is used, or you’d like to withdraw your consent, please contact us at hello@ourversion.media
