At Our Version Media CIC, we use artificial intelligence (AI) to support, automate and streamline our operations. We’re a small team with big impact and responsibilities – so AI helps us manage our workload more effectively. This policy explains how and why we use AI tools, and how we protect your data and maintain your trust throughout the process.
Our approach
We use AI to support – not replace – human effort, creativity and judgement. Where AI is used, it’s guided by our values: equity, inclusion, transparency and accountability. This is especially important in our work with Black British, African and Caribbean communities in the UK, whose stories and experiences deserve care, dignity and representation.
How we use AI tools
We may use AI to:
- Improve accessibility (e.g. generate transcripts, captions or summaries)
- Streamline admin and training processes (e.g. course calendars, registration workflows)
- Enhance communications (e.g. editing, drafting or formatting documents)
- Help generate ideas for creative content, always reviewed and refined by our team
Any AI-generated content is reviewed by a member of our team before being used, published or shared.
What we don’t use AI for
We do not use AI to:
- Replace real voices in storytelling or community representation
- Make automated decisions about individuals
- Process sensitive personal data without clear consent
- Share personal or confidential data with third-party AI platforms
Data protection and privacy
We do not input identifiable personal data into AI tools unless we have your explicit consent and have assessed the privacy risks. Any AI systems we use are checked to ensure they meet our security standards and comply with UK GDPR.
Transparency and accountability
If AI has helped us shape content or services, we aim to let you know – either within the content itself or upon request.
